Authorize a Stage or Exception Plan
Summary
PRINCE2® requires that Project Board members undertake the following responsibilities collectively to authorize a Stage or Exception Plan.
Actions required for authorizing a Stage or Exception PlanReview the End Stage Report (or Exception Report):
- If this is the end of a management stage, then review the performance status of the project using the End Stage Report for the current management stage. Include consideration of any benefits achieved or lessons learned during the stage
- If there is an exception, then review the status of the project and the background to the exception using the Exception Report
Review and approve the next Stage Plan or Exception Plan:
- Review the plan for which the Project Manager is seeking approval (this will be a Stage Plan for the next management stage or an Exception Plan)
- Set the tolerances for the next management stage or (in the case of an Exception Plan) revise the current stage tolerances if necessary
Assess overall project viability:
- Review the Project Plan and the position in relation to project tolerances agreed with corporate or programme management
- Review the Business Case to ensure that the project is still justified
- Review the key risks to ensure that the exposure is still acceptable and that response actions are planned
- Obtain decisions from outside the project for any potential deviations beyond project tolerances. For example, if this project is part of a programme, programme management will have to examine the likely impact on the programme and take appropriate action
- Authorize the Project Manager to proceed with the submitted plan (Stage Plan or Exception Plan) or instruct the Project Manager to prematurely close the project
Communicate:
- Inform stakeholders (corporate or programme management and other interested parties) on project progress
